Where to Start?
As you are already aware, Xero currently does not offer built-in functionality to support multiple branch codes. However, we have figured out a method in which we can utilize one of Xero’s features to categorize transactions.
Our solution is to utilize the Tracking feature within Xero to create a custom category for branch codes. By setting up a new category for branch codes, we can then tag our transactions so that JuanTax will be able to understand which transactions are associated with which branch code.
1. Setting Up the Branch Codes Using the Tracking Feature
To start adding branch codes, you should go to your Xero account and proceed to Settings > General Settings > Tracking.
After that, you should click the Add Tracking Category button to start entering your branch codes.
In this example, I named the tracking category as “Branch Codes”, and added two category options: 001 and 002. After that, hit Save.
Note: Remember that in Xero, you can only have two active tracking categories and up to 100 tracking options for each tracking category. If you have more than 100 branches, you will not be able to use the JuanTax Xero version due to this limitation. In this situation, we recommend that you use the Standalone version for it doesn’t have limits when it comes to the number of branches.
For the tracking category option, you can enter branch codes up to 3 digits (XXX).
2. Create a Bill
Next step is for you to create a bill in Xero which you will include on your withholding tax report in JuanTax.
Just like the steps in Adding Bills with Withholding Tax in Xero, you should enter all the appropriate information for each field before Paying the purchase.
Take note that the amount entered in the Qty column of the withholding tax line item should be copied from the taxable amount in the Amount PHP column. Always remember to use the proper code in the Item column.
After entering your branch codes in the tracking categories, you can now select the branch used within the transaction. This is to enable JuanTax to easily identify which branch shall be associated with the withholding tax. I used 002 as the branch code in this example.
3. Setting up Branches in JuanTax
Once you have entered the branch codes, and paid your created bill in Xero, it’s now time for you to connect it with your JuanTax account.
To connect your JuanTax account with Xero, you should go to Settings > Branch Settings and click the Resync to Xero icon.
To confirm that you want to resync your branch with Xero, click the YES, RESYNC BRANCH button.
After you do the resync, your branch will now appear in your list of branches as INCOMPLETE, for you still haven’t included details on your branch. You need to click the Edit All icon to start entering details on your branch.

Fill up details such as Address, City, Postal, Phone and RDO, then finish it by clicking the Save button. After that, you’ll see that your branch is already added to the list of branches in your account.
After that, your branch will now be marked as ACTIVE.
As you generate your withholding tax return, you will be prompted to this modal where you will choose the branch code for the report that you’ll add in JuanTax.
Once you’ve generated the report, the transaction that you created in Xero will show up in the Sources section of your report.
